Clocking, leave requests, schedules, and attendance records for both employees and managers.

Clock In / Out

The Clock In / Out page lets you record your start and end times each day. Your administrator may require a PIN or allow GPS-based clocking depending on your company settings.

Confirm your identity

If PIN clocking is enabled, enter your 4-digit PIN. If GPS is enabled, allow the browser to access your location.

Click Clock In or Clock Out

The button displayed depends on your current status. If you have not clocked in today, you will see Clock In. If you are already clocked in, you will see Clock Out.

Confirm the time recorded

The page updates to show your recorded time and status indicator.

If GPS clocking is enabled, you must be within your company's defined location radius to clock in successfully. If you are outside the radius, contact your manager.
You can clock in and out from the Employee Self-Service (ESS) portal on your mobile phone if your administrator has enabled that feature.

Viewing Your Attendance

Your attendance records show every clock-in and clock-out event, flagged late arrivals, and any absences.

Select a date range

Use the date picker at the top of the page to filter records by week or custom date range.

Review your records

Each row shows: Date, Shift, Clock In time, Clock Out time, Hours Worked, and a status badge (On Time, Late, Absent).
If you believe a record is incorrect, contact your supervisor or HR administrator — they can edit attendance entries from the manager view.

Schedule & Shifts

Your shift schedule shows which days and times you are expected to work. Schedules are set by your administrator or HR manager.

Browse by week

Use the week navigation arrows to move forward or backward through your schedule.

Understand shift details

Click any shift block to see its full details: start time, end time, location, and department.
Shift changes are made by your manager. If your schedule is incorrect, contact HR or your line manager.

Leave Requests

Submit leave requests directly from the portal. Your manager or HR will approve or decline them, and you will see the updated status in your leave history.

Click New Request

The leave request form will open.

Select leave type

Choose from: Annual, Sick, Maternity/Paternity, Bereavement, or any custom type your company has configured.

Set the dates

Pick your start date and end date using the calendar picker.

Add a reason (optional)

Provide any relevant details for your manager.

Click Submit

Your request status will show as Pending until your manager responds.

at any time to see the status of all your requests: Pending, Approved, or Declined.

Viewing your leave balance

Your remaining leave days for each leave type are displayed at the top of the Leave page.

Leave balances are calculated based on your employment start date and company policy. Contact HR if your balance appears incorrect.

Overtime

Overtime is automatically flagged when your worked hours exceed the standard shift hours configured for your role. This typically happens when you clock out later than your scheduled end time.

Flagged automatically: Overtime hours appear highlighted in your attendance record.

Approval: Depending on your company policy, overtime may require advance approval from your manager. Check with your HR administrator for your company's overtime rules.

Payroll impact: Approved overtime is automatically included in your payroll calculation at the configured overtime rate.

Working overtime without prior manager approval may not be compensated, depending on your employment contract.

Managers, supervisors, and T&A administrators have additional capabilities to manage their team's attendance records and approvals.

Use the employee filter to view a specific person's records.

Click on any row to correct clock-in/out times or mark an exception.

Review pending requests

All pending requests from your team are listed here with dates, leave type, and reason.

Approve or decline

Click the green tick to approve, or the red cross to decline. Optionally add a note.

Timesheets sign-off

At the end of a pay period, T&A administrators can lock attendance records to prevent further edits, then sign off timesheets for submission to payroll. This is done from:

Sign off timesheets before the payroll cut-off date to ensure all hours are captured in the current pay run.

Tardiness & Punctuality KPI

Soundial tracks how late each employee clocks in against their assigned shift and rolls it up into a Punctuality KPI. Late minutes are calculated live from the actual clock-in time versus the scheduled shift start, so the numbers stay accurate even if a shift or punch is entered out of order.

Managers and supervisors see a Tardiness summary for their own team; administrators see the whole company.

Read the late minutes

Each attendance row shows the minutes an employee was late for that day, and the monthly summary shows their punctuality rate against the 95% target.

Recompute if needed

Administrators can use the Recompute action to backfill late minutes after correcting shifts or punches — useful when records were entered after the fact.
Late minutes depend on each employee having an assigned shift. Employees without a schedule are treated as having no scheduled start, so they won't register as late.

Exporting timesheets (Excel, CSV, PDF)

Managers, supervisors, and T&A administrators can export the attendance timesheet for any date range in three formats. Managers and supervisors get a timesheet scoped to their own departments; administrators can export the whole company.

Pick the date range

Use the From and To date pickers at the top of the export panel. It defaults to the current month to date.

Choose a format

Click CSV, Excel, or PDF. The file includes date, employee, department, scheduled and actual times, late minutes, break, and regular / overtime / double-time hours.
The PDF is a print-ready, landscape report with your company name, the period, and who generated it — handy for sign-off and record keeping. CSV and Excel are best for further analysis in a spreadsheet.
