Offboarding

Walk an employee through a clean, consistent departure — capture the reason and last working day, run an exit interview, recover company assets, complete final pay, hand over their P45, and deactivate their account.

Offboarding is available to payroll administrators. If you don't see it in your sidebar, check that you have payroll admin access for the company.

How offboarding works

You initiate an offboarding for an employee, then work through a five-step checklist. Each step you complete updates the case's progress. Once all steps are done you mark the case complete. The employee is only deactivated when you reach that step, so they keep working normally until their last day.

Click Initiate Offboarding

From the Offboarding page, start a new case. Only active employees who don't already have an open case appear in the list.

Pick the employee and reason

Choose the employee and a reason — resignation, termination, retirement, end of contract, redundancy, or other.

Set the last working day

Enter their last working day (and an optional note). This date is used as the default termination date when you deactivate their account later.
You can re-initiate a cancelled or completed case for the same person if circumstances change — the checklist starts fresh.

Exit interview

Capture the employee's feedback before they leave. Record an overall experience rating, whether they'd recommend the company, their primary reason for leaving, and free-text notes on what went well and what could improve.

The interview is saved against the case so HR keeps a permanent, structured record of why people leave — useful for spotting retention trends over time.

Asset return

The case lists every company asset still assigned to the employee, pulled straight from the Assets register. Mark each item returned as you collect it; once nothing is outstanding the step completes automatically.

Marking an asset returned records the return date so the Assets register stays accurate.

Run the final pay

Process the employee's last pay (including any outstanding balances) in
Payroll
, then mark the Final payroll step done.

Generate the P45

Use the link to the TAJ P45 cessation certificate, hand it to the employee, then mark the P45 hand-off step done.
Complete final pay before deactivating the account so the employee is still on record for the pay run.

Account deactivation

The final step sets the employee to terminated with their last working day as the termination date, and automatically revokes their access — removing them from all clocking devices and deleting their stored biometric templates.

This is a security-critical action and can't be undone from the offboarding screen. Make sure assets are back and final pay is done first.

Completing the case

When all five checklist steps are done, the Mark complete button becomes available. Completing the case files it away with a completion date. You can also cancel a case at any time if a departure falls through.
