Maintenance (CMMS)

Soundial's Computerized Maintenance Management System — one place to register the assets you maintain, raise and track work orders, schedule preventive maintenance, run asset inspections, manage parts inventory and procurement, and configure your operation.

Maintenance is a licensed product, separate from Fleet. If you don't see Maintenancein your sidebar, ask your Soundial administrator to enable it for your company.

Set up first: Operations Configuration

Before you code work orders, set up your master data — locations, asset categories, cost centres, budgets and failure codes — so everything can be tracked and costed consistently.

Asset registry

Register the assets you maintain — machinery, buildings, equipment, generators, IT and more — grouped by department and category. Each asset carries its category, location, cost centre and its own maintenance history, so work orders and inspections attach to a real asset rather than free text.

Report a fault

Anyone can flag a problem against an asset — describe the issue, set a priority and attach a photo. It lands as a Reported work order for the maintenance team to triage.

Work orders

The heart of the CMMS. A work order moves through a lifecycle — Reported → Approved → Assigned → In progress → (Waiting parts) → Supervisor review → Completed — capturing labour, parts and cost along the way.

Raise or approve

Create a work order for corrective or planned work against an asset, or approve one that came in from a reported fault or a failed inspection.

Assign a mechanic

Assign it to an employee or a contractor mechanic — they see it in their own portal (ESS or contractor), log their findings, flag any new issues, and sign off.

Log parts & labour

Add catalogued parts (stock deducts automatically) and labour entries; the total labour + parts cost rolls up on the work order.

Preventive maintenance

Schedule recurring maintenance by time (e.g. every 90 days) or by meter (odometer/running hours), so servicing is proactive. Due tasks surface on the calendar and generate work orders.

Asset inspections

Run checklist-based inspections on your assets, grouped by department (and equipment). Flag a critical defect and Soundial raises a work order for it automatically. Edit the checklist per asset category from the same screen.

Parts inventory

Track parts and consumables — stock on hand, reorder points, unit cost and value. Issuing a catalogued part to a work order deducts stock; dropping below the reorder point raises a low-stock alert (email + bell).

Procurement

Raise purchase orders for parts and services against a vendor (or a contractor). Search the parts catalogue as you build the PO, then print it on your company letterhead or email it to the supplier — a draft PO is marked sent once emailed.
