Onboarding

Bring a new hire on board: send them a secure link to submit their details and documents, review what they provide, then turn them into an active employee.

Onboarding is a payroll add-on. If you don't see it in your sidebar, ask your Soundial administrator to enable the Onboarding module for your company.

How onboarding works

You send an invite; the new hire opens a private link and completes a submission with their personal, banking, and statutory details and uploads their documents; you review and verify everything; then you convert them into an employee record.

Start a new invite

From the Onboarding page, create an invite with the new hire's name and email.

Share the secure link

The new hire receives a private, token-based link — no Soundial login required.

Track status

Each invite shows whether it's pending, in progress, or submitted.
Coming from a hire in the Recruitment module? Start onboarding straight after the candidate accepts their offer to carry their details across.

What the new hire completes

Using their link, the new hire fills in their personal information, banking details for pay, and statutory identifiers (TRN, NIS), and uploads any required documents — for example ID, proof of address, and qualifications.

The link is unique to each new hire and expires once onboarding is complete, so their data stays private.

Reviewing and verifying documents

Open the submission

When a hire submits, open their record from the Onboarding dashboard.

Check each document

Review the uploaded documents and mark them verified, or request a correction.

Confirm the details

Verify the personal, banking, and statutory information is complete and accurate.

Converting to an employee

Finalize the submission

Once everything is verified, convert the onboarding record into an active employee.

Confirm in Employees

The new hire now appears under
Employees
and is ready to be included in payroll and (if licensed) time & attendance.
Set the employee's pay structure and department right after conversion so their first payroll run picks them up automatically.
